FERPA Faculty and Staff

FERPA Permission Information

In accordance with FERPA, students may designate individuals to have access to their FERPA information. The permissions expire after one calendar year (365 days). Click the link for FERPA Policy .

*Directory information that may be shared without a FERPA permissions form on file for the following: students name, address, major field of study, dates of attendance, degrees and awards received, participation in officially recognized activities and sports, weight and heights of athletic team members, most recent previous education agency or institute attended.

How do faculty and staff members check a student’s FERPA permissions?

There are two ways for faculty and staff members to look up a student and see who they have given FERPA permissions to.

ECU Parent and Family Portal

The ECU Parent & Family Portal (CampusESP) allows parents, guardians, and family members to connect with their student(s). Both the student and parent/guardian have access to create the connection. The student can add their parent and grant FERPA permissions, which the parent/guardian will see on their ECU Parent and Family Portal account the next day. A parent or guardian can request a student connection and request FERPA permissions. The student will then respond and grant or deny the FERPA permission requests. If granted access, the parent or guardian will see their student’s information on the ECU Parent and Family Portal the following day.

Faculty and staff members will be able to view these connections and permissions in real time on the ECU Parent and Family Portal.

  1. Access the ECU Parent & Family Portal log in page.
  2. Click on “Faculty, staff, or student? Log in here” and use single sign on with your ECU email and passphrase.
  3. Select the “profile” icon in the top right.
  4. From the drop-down menu, select “Admin” to access the admin area.
  5. In the “Students” field at the top, enter the student’s first name, last name, or ECU email address to search.
  6. Once you find the student, click on their account to view their FERPA permissions.

Faculty and staff members can gain access to the Parent and Family Portal FERPA permissions by first completing the FERPA presentation and quiz on PiratePort (you do not have to take the quiz again if you have already completed it). This can be found by searching “FERPA Quiz” in the search bar. Once you have passed the quiz, please have your supervisor send an email to the Registrar’s Office at regis@ecu.edu requesting access to the ECU Parent and Family Portal. The Registrar’s office will notify you when access has been granted.

Access FERPA permissions in Banner Admin pages. *Banner Admin pages will be refreshed overnight.

  1. Log in the Banner Admin pages.
  2. Enter SPACMNT in the search bar and hit enter.
  3. Type in student’s banner ID and click Go.
  4. Navigate using the arrows to the FRP FERPA Buckley Form comment type.
  5. The Comments section will contain the following:
    1. Name of individual granted permission
    2. Relationship to student
    3. Records individual has been granted access to
    4. Approval status
    5. Dates of effectiveness (start date-expiration date)
  6. If there is no record on file, then a student either has revoked access or no FERPA permission request has been made.
  7. A student may grant permission to multiple individuals. They will be listed all in the same comment box.

Faculty and staff can request access to SPACMNT by submitting a Banner security request through PiratePort and adding in the comments section “requesting access to SPACMNT for FERPA permissions.
